Track and close a cycle

See who finished each step, why someone was left out, the cycle actions and what happens when it closes.

Track and close a cycle

After scheduling, open the cycle in Skills > Cycles to follow each step, act on one person or on the whole cycle and, at the end, close it. To create a cycle, see Skill map cycles.

Overview

The Overview tab shows, for each step, how many people finished, how many are in progress, open, late or waiting for the previous step. The timeline shows each step with the part already finished and a line on today's date; hover over a step to see its dates.

People

The People tab shows each person's status in each step, with the date they finished or the deadline, and the next planned send. This is where you find out why someone has not received an e-mail yet. Search by name or e-mail, filter by step and status, and use the buttons next to the name and the e-mail to copy them.

Who was left out of a step

When a person is not part of a step, the column shows Out of this step and the reason right below:

  • No map among the checked ones: the person's position has no map among those the step applies.

  • Depends on "step name", which the person did not do: the step is only sent after the person finishes another one, and they were left out of that other one.

  • Removed from the cycle: someone took the person out of the cycle.

  • Cycle closed before the send: the cycle ended before the step reached the person.

The form warns about chained steps before scheduling. See how to avoid this case in Skill map cycles.

Actions for one person

The menu of each row has Extend this person's deadline and Remove from the cycle. What they already answered stays stored. The Add people button brings in whoever joined the company after scheduling; they get the maps of the position they hold.

Cycle actions

In the header menu you can:

  • Open now a scheduled cycle, before its date.

  • Pause sends and Resume sends.

  • Close now, Cancel cycle and Duplicate.

  • Archive a closed or canceled cycle. It moves to the Archived tab, where you can Unarchive it.

The actions of each step are in the same menu, grouped under its name. Send now sends the step to whoever has not received it. Make a new revision is for after you change a map: people who have not received it get the new version, and people who already did keep the one they got. Closing, canceling and the other actions that cannot be undone ask for confirmation.

💡 Once a step is sent, its audience, maps and dependencies no longer change. Future dates, the deadline and notifications can still be adjusted in Edit.

Close

The cycle closes by itself on its date. To close it earlier, use Close now; the confirmation shows, for each step, how many people have not finished yet.

Close confirmation with the people who have not finished each step

When the cycle closes, whoever has not answered stays pending, the maps of the cycle stop taking answers and the assessment invites nobody started expire. The results are kept as they were, to compare with the next cycle.

Change a result after closing

In an assessment of a closed cycle, accepting an appeal, annulling a question, changing a final grade or applying the integrity rule again asks for confirmation in Apply anyway. The change is made and kept as a revision of the result, with who made it and the previous value.
