Skill map cycles

A cycle runs skill maps, assessments and profile updates again for a group of people, with an opening date, a deadline, reminders and a record of each round. Use it, for example, to map the same people every semester and compare one round with the previous one.

Cycles live in Skills > Cycles. The Cycles tab lists drafts, scheduled, open and closed cycles; the Archived tab keeps the ones you took off the list. Below the title you see how many cycles were scheduled in the last 12 months and the plan limit.

This article shows how to create a cycle. The others cover the rest:

Create a cycle

Click New cycle. The form has four steps, and Save draft keeps what you did so you can finish later.

1. Period

Give it a name, a short description (bold, italic and underline are allowed) and the dates the cycle opens and closes. Under Repeat this cycle, you can have the next cycle created as a draft a few months later. It only starts when someone schedules it.

2. Steps and audience

Under Who joins the cycle, pick one of three options:

  • People in the chosen careers: each person gets the map of the position they hold. Under Exclude people (optional), search by name or e-mail for anyone who should stay out, even if they are in those careers.

  • Specific people: search by name or e-mail and check people one by one. They join even if they are not in any career. In a map step, each one gets the map of the position they hold.

  • The same people and maps as a previous cycle: useful when maps were sent person by person, without a position.

Then come the steps. The cycle starts with a skill maps step, where you check the maps it applies. The buttons below the steps add others:

  • Add assessment: a published assessment of the company. Each person gets the invite of the assessment itself, valid until the step closes.

  • Add profile update: each person reviews the profile sections you check. See Profile update cycle.

  • Add announcement: only sends an e-mail, for example to say the cycle has started.

  • Add map step: another map step, with other maps or other dates.

The preview at the end of the step shows how many people join the cycle and how many have no map among the checked ones. Whoever has no map stays out of the map step.

By default, every step after the first one is only sent when the person finishes the previous one. So whoever stays out of a step also stays out of the steps that depend on it: with no map, the person does not get the assessment that comes after the maps. The orange warning shows how many people this affects. To include them, change the sending of the next step to when the cycle opens or to a date, in the next step of the form.

3. Flow and notifications

For each step, set when it is sent (when the cycle opens, on a date or some days after the person finishes another step), the deadline and when it closes.

  • Under The step closes, choose With the cycle or On a date. After the deadline, whoever has not finished shows as late and can still answer until the step closes.

  • Under E-mails, each send shows the date it goes out: invite, reminders before the deadline and the late notice. Reminders and notices only go to people who have not finished. Use Add e-mail to add another one.

  • If the company prefers to notify people on its own, check The company tells people itself and the step sends no e-mails.

Each e-mail uses the company template, or the default template if the company has none, and goes out in each person's language. To write a text just for this cycle, click the pencil of the send and choose Write a message for this cycle only. The eye icon shows a preview with sample data.

In an assessment step, the invite is the e-mail of the assessment itself. The cycle sends the reminders and the late notice, with the link for the person to take the assessment.

4. Review

The review brings together the number of people, the credits, the use of the plan quota, the comparison with the previous cycle and the timeline. Warnings about chained steps show again at the top.

  • Skill maps do not use credits. The assessment uses the credits of a regular invite for each person who reaches it; people left out of the step do not count. If the balance does not cover everyone, the review tells you, and whoever does not fit waits for credit.

  • The comparability tag shows how much of the map content is the same as in the previous cycle. Hover over it to see what the number means. Below 90%, confirm you are aware before scheduling.

Click Schedule cycle. From then on, the list of people is frozen and the platform sends each step on its date. People who join the company later can be added from the People tab of the cycle.
