When a job is hard to fill or the team has no time to search, a Shortlist puts Coodesh to work for you. Coodesh specialists or AI agents look for matching profiles in the Coodesh base and in external or partner networks, and you get a short list, ready to review.
What this solves for you
Speeds up hard-to-fill jobs without adding to your team's workload.
Gives visibility of every request, from sending to delivery, on a single board.
Ensures governance: requests can go through internal approval before reaching Coodesh.
Brings cost predictability, under your plan's terms.
How to request
Open Sourcing › Shortlists and click Request shortlist. You can also request it straight from a search or a project in Find Talents.
Link the request to a Coodesh job in progress, an external job (title and, optionally, the link), a search or a search project, or leave it unlinked. You can give the request a Name; if blank, it uses the name of what it is linked to.
Describe the Requirements (for example: stack, seniority, languages, location or work model, salary range and deadline), the Notes and how many positions are open. Without a link, requirements are mandatory. How many profiles are delivered is up to Coodesh's curation.
Send the request.
Requesting, editing, pausing, resuming, canceling, deleting and approving shortlists require a Recruiter Seat. Viewing the company's shortlists does not. See Recruiter Seats: who can use Sourcing.
Service type: Self-service or Full-service Hiring
When you request the shortlist, choose who runs the process after Coodesh finds the profiles:
Self-service (default): you invite the profiles and bring them into your screening and interview process.
Full-service Hiring: Coodesh runs the process end to end, and your team steps in only for the final decisions. It is charged as a success fee per hire, with a 90-day guarantee, under the terms shown when you choose this option.
You can change the service type while the shortlist is not completed. The shortlist card shows Full-service when this option is chosen. The same choice appears under Service type in the settings when you publish a job.
Internal approval
People with the Approve shortlists permission send the request straight to Coodesh.
People with only the Shortlists permission send the request for approval. It stays as Awaiting approval, and an e-mail goes to everyone with the Approve shortlists permission and a Recruiter Seat.
The approver uses Approve and send to Coodesh, and the requester is notified by e-mail. To decline, cancel the request; the requester is notified too.
Permissions are set on the users page under Settings. Admins and managers already have both.
Follow everything on the board
The Shortlists screen opens as a Board, with one column per stage: Awaiting approval (when there are requests in it), Requested, In progress, Paused, Completed and Canceled. If you prefer, switch to List.
In the ⋮ menu of each card, you open, edit, pause, resume, cancel or delete the request without leaving the board and, if you have the permission, approve the requests waiting for it. Until it is completed, the request can be edited and canceled; once sent to Coodesh, it can also be paused. Coodesh is notified when you pause, resume, cancel or change the service type.
Credits and limits
Each profile Coodesh links to the shortlist uses credits from your company's balance, according to your plan. If the profile is removed before delivery, the credit comes back.
To request and to approve, you need a balance for at least one profile. To learn your plan's terms, talk to sales.
Your company can have up to 3 shortlists not completed at the same time, including those awaiting approval and the paused ones.
Credits used show in Settings › Usage. See also Daily search limit and Sourcing credit costs.
When the shortlist is ready
The requester gets an e-mail, and the card shows the New badge until you open it. Inside the shortlist, each profile opens its own way: applications through View application, which takes you to Manage Applications, and talents from the base through See profile and invite, right in the shortlist, where you can invite them.
