Custom fields let your company ask its own questions on people's profiles. People answer them during onboarding and can review their answers later, from their own profile.
The answers are available in the People screen filter and in the workspace user export, so you can use them to segment and plan.
Who can configure this
The screen is restricted to workspace administrators: Super Admin, Admin, Manager and Business profiles with permission to edit the workspace.
To get there, go to Workspace > Custom fields.
Create a question
Click Create field.
Write the question. The identifier is generated from it automatically, so you do not have to worry about it.
Optionally add a help text to give context to whoever answers.
Choose the answer type.
Decide whether the answer is required. Required fields have to be answered to finish onboarding.
For single or multiple choice, fill in the answer options.
Click Save.
Available types
Type | When to use it |
Single choice | The person picks one of the options you defined. |
Multiple choice | The person can pick more than one option. |
Short text | Free one-line answer. |
Long text | Free answer of several paragraphs. |
Number | Numeric answer, with optional minimum and maximum. |
Date | A date. |
Yes or no | Binary answer. |
Translate the question
If your workspace has more than one language, use the selector at the top of the edit panel to switch between them. You edit one language at a time.
The dot next to each language shows which ones already have content: green means filled in, grey means empty.
While you edit a language other than the default one, the default language text appears right below each field as a reference.
Only the default language is required. Anyone who opens it in a language with no translation sees the default language text, so you can translate gradually.
Change the order of the questions
Drag the question by the handle on the left of the row. The order in the list is the same order the questions appear in onboarding.
Only active questions can be dragged. Archived ones stay at the end of the list and are not part of the order, because nobody answers them any more.
Edit a question
You can rewrite the text, the translations, the help text, the required setting and the order at any time, even after many people have answered. The same goes for each option's text: the answer stores an internal reference, not the text you wrote, so rewriting a label invalidates nothing.
Two things are locked once someone answers:
The identifier never changes. It is where the answers are stored.
The type can only be changed while nobody has answered.
Removing an option
An option nobody picked can be removed normally. If someone already picked it, the remove button is disabled and shows how many people chose it.
This prevents silently erasing the answer those people gave. If the option no longer makes sense, you have two ways out: rewrite its text, or archive the whole question and create a new one.
Archive and restore
Archiving is the equivalent of deleting. The question leaves onboarding and the profile, but nothing is erased: the answers already given stay stored and come back if you restore the question.
Before you confirm, the screen shows how many people already answered that question.
To bring it back, open the actions menu of the archived question and choose Restore field.
Where the answers show up
Onboarding — a step with the company's questions, right after the profile step.
Profile — in the additional information section, where the person can review what they answered.
People — choice questions become filters.
User export — one column per active question.
Frequently asked questions
Can I change the text of a question that has already been answered?
Yes. Text, translations, help text, required setting and order are all free. Only the identifier and the type are locked.
What happens if I make an existing question required?
It becomes required in onboarding from then on. People who already finished their registration are not blocked, but they can answer from their profile.
Can I show a question only to some people?
Yes. In the Conditional display section, choose which question it depends on and which answers make it appear. While it is hidden, it is not enforced as required.
I deleted a question by mistake. Did I lose the answers?
No. The question was archived, not deleted. Restore it and the answers come back.
Can I reuse the identifier of an archived question?
No. The identifier stays reserved precisely so that a new question does not accidentally inherit an old question's answers.
